Welcome to the Terms and Conditions page of our chauffeured van rental company. Please read these terms and conditions carefully before using our services.
Definitions:
- a. "Company," "we," "us," or "our" refers to our chauffeured van rental company.
- b. "You" or "your" refers to the customer renting the van and using our services.
- c. "Services" refer to the rental of a chauffeured van by the company to you.
BEFORE THE SERVICE
Reservations:
- a. You may choose to make your booking request either through the website's online booking feature or by contacting our office. Once we receive your request, we will acknowledge it and proceed to process your reservation. However, please note that we will require full payment before confirming the booking.
- b. To ensure that we provide the best service, we kindly ask that you provide us with detailed information such as complete addresses, names, contact numbers, and planned itinerary.
- c. In the event that you have already completed your booking but wish to change or add details, please feel free to send us an email or contact our office during regular business hours.
Rental Period:
- a. The rental period begins at the agreed-upon pickup time and ends at the agreed-upon drop-off time.
- b. Any additional time will be charged at an hourly rate.
- c. If you are late for pickup, we will wait for up to 30 minutes. After that, we reserve the right to cancel your reservation without a refund.
Chauffeur:
- a. Our services come with a professional and licensed chauffeur.
- b. The chauffeur will comply with all traffic laws and ensure your safety during the rental period.
- c. The chauffeur will not operate the van under the influence of drugs or alcohol.
Vehicle Use:
- a. The van must only be used for its intended purpose, which is transportation.
- b. The van must not be used for any illegal activity.
Cancellation and Refunds:
- a. made 30 days prior to the trip = 100% refund of the basic fee minus bank fee
- b. made 29 days to 15 days prior to the trip = 50% of the basic fee minus the bank fee
- c. made 14 days prior to the trip = No refund
- d. No refund or credits will be given if the guest does not arrive on time or does not show up at all.
Rebooking and Change Date
- The rebooking or changing of a booking is not permitted and will be treated as a cancellation by the client. For more information regarding cancellation fees, please refer to Cancellation and Refunds section.
Liability:
- a. We are not responsible for any loss or damage to your property during the rental period.
- b. We are not liable for any injury or harm that occurs during the rental period.
- c. Our liability is limited to the amount paid for the rental services.
Governing Law:
- These terms and conditions shall be governed by and construed in accordance with the laws of the state where the rental services are provided.
Any disputes arising from these terms and conditions shall be resolved in the courts of the state where the rental services are provided.
DURING THE TRIP
Pick up time and place:
- 1. The driver will notify you of their arrival 15 minutes prior to your scheduled pick-up time. You will receive an SMS (text message) if you have a local mobile phone or through the front desk of your hotel.
- 2. Once the service begins, the driver will provide you with their calling card. You may use it to contact the driver and have them fetch you at the entrance of the building from the parking lot.
- 3. For airport pick-ups, there is a 2-hour waiting period from the arrival of your flight. Failure to make contact or show up after this time will result in the cancellation of your reservation without a refund. Please refer to the PICK-UP POINTS below for further information:

- 4. Please inform us of any changes to your flight schedule prior to your departure. If you are unable to arrive within two hours without prior notice, your reservation will be automatically cancelled.
Destinations:
- 1. Please provide us with the complete address of your destination/s upon booking.
- 2. We cannot guarantee your arrival at your desired time due to traffic congestion or other causes. It is recommended that you set your pick up time with ample allowance if you have a desired time of arrival.
Parking / Waiting Time:
- 1. If guests are not present inside the car or have no intention of riding within 15 minutes, our drivers are instructed to find the closest parking spot and wait. Guests must inform the drivers 10 minutes prior to the next pick-up.
- 2. Our vehicles cannot park or wait on the streets as the safety and security of our vehicles is a top priority.
Terms of Service Hours:
- 1. The service will start at the specified commencement time indicated in your booking. The service duration will be calculated from the commencement time until you reach your final destination as stated in your reservation.
- 2. The basic rental charge depends on the type of booking you select. If the service exceeds the booked schedule, an overtime fee will be charged based on the corresponding overtime rate of the vehicle you have chosen. If you arrive at your final destination more than 15 minutes past the hour, the full overtime rate will be applied. The overtime rate can be found on your quotation and cannot be discounted if the full hour is not utilized.
- 3. Any extension of service beyond the booked schedule must be approved by VRM Transport representative and must be paid in full in cash at the end of the daily service. VRM Transport reserves the right to decline any request for service extension.
Additional Rules Outside Metro Manila Itinerary:
- 1. The Garage to Garage rule is applied when the rented vehicle leaves the garage and is applicable only for pick-up and drop-off outside Metro Manila. The charges will be based on this policy.
- 2. In case of consecutive bookings, the same driver will be assigned to provide the service.
Expenses:
- 1. The booking service covers the cost of fuel, highway tolls, and parking fees for itineraries within Metro Manila. For itineraries outside Metro Manila, the inclusion of these expenses will be subject to mutual agreement between you and the company.
- 2. For long trips that require overnight accommodation, it is your responsibility to provide lodging for our drivers.
- 3. Food allowance will also be provided by the renter.
- 4. To comply with safety regulations, our drivers are only authorized to drive for a maximum of 15 hours per day. Should you require a service that exceeds 15 hours, we can provide two drivers at an additional cost to ensure your safety and comfort.
Restrictions:
- Smoking inside the vehicle is not allowed.
- Only authorized drivers are allowed to use the vehicle.
- The vehicle should not be used in a reckless or illegal manner, including transportation of drugs or contraband.
- The vehicle should not be used to tow or push anything, to carry passengers or property for hire, or to engage in a speed contest.
- The vehicle should only be used on regularly maintained roadways.
- The vehicle should not be used to transport hazardous or explosive substances.
- The vehicle should not be overloaded beyond its maximum payload capacity.
- The vehicle should not be used where insufficient clearance of height or width exists, resulting in damage to the vehicle.
- The vehicle should be loaded properly and not in any way that will cause damage or accidents.
- The vehicle should not be used to transport goods in violation of customs regulations or other illegal manner.
Security Rules:
- VRM Transport reserves the right to decline and remove passengers at any time for valid reasons, such as persons who are under the influence of liquor, prohibited drugs, etc.
- In the event that passengers need medical assistance and/or are handicapped, this fact should be declared upon reservation.
- The following are not allowed on-board the Carrier:
- Any type of firearms (Military/Police personnel on duty/mission must surrender firearm at the Inspection Desk and will be placed under the custody of the Ship Master/Captain)
- Explosive items, like firecrackers and other pyrotechnics
- Corrosive substances such as chemical, acids, and alkaline-based substance
- Flammable substances and materials such as gasoline, LPG, hydrogen, paints, thinner or other substances listed by International Maritime Organization
- Compressed Toxic Gas such as Carbon Dioxide, Ammonia Chlorine, and other poisonous substances
- Prohibited drugs and/or substances
Liability of VRM Transport:

We shall not be held responsible and will not be held liable for any loss, damage, delay, alterations, or changes that may arise due to civil unrest, labor disputes including air traffic control disputes, acts of terrorism, natural or nuclear disasters, fire or adverse weather conditions, unforeseen technical issues with transportation, road closures or congestion, airport closures, cancellation of scheduled flights, or financial insolvency of airlines.
Liability of the Client and Passengers:

Clients are responsible for any damage or loss to vehicles, seats, or any other equipment provided by VRM Transport due to their actions or negligence. Clients will be charged Php8,000 per panel for any light scratches caused by them or their guests. For heavy damage, a diagnostic will be conducted before charging all expenses plus 30%.
